Boleto Bancário is a financial document that enables your client to go to a bank or similar locality in possession of the money owed you and have it transferred to your account in one banking day. As long as within the due date period, your client may use a lotto house, supermarkets, post offices, home banking in addition to any bank agency in the Brazilian territory.
The main characters involved in this billing are the Bank, the Merchant and the Merchant's Client (from now on known as the sacado (client)).
Important:
To use Boletos as a billing method, it is necessary that the the client's bank account be authorized to collect payment by the client's bank of choice. Speak to your account manager!
According to the manual of FEBRABAN - Federação Brasileira das Associações de Bancos - a boleto should contain two parts: the Recibo do Sacado (Client's Receipt) and the Ficha de Compensação (Clearance Receipt).
Unless previously determined by the bank, the layout and information contained in a boleto are defined by the Cedente (Merchant).
Recibo do Sacado (Client's Receipt)
This part of the document will remain in the possession of the Sacado (Client) as proof of payment of the Boleto.
The required fields in a boleto are listed below. These fields must be present in both parts of a boleto.
Ficha de Compensação (Clearance Receipt)
The bank keeps the Ficha de Compensação (Clearance Receipt), so that it can be sent to Clearance when the boleto is paid.
The following measurements must be observed on the These informations have to be in the Ficha de Compensação (Clearance Receipt):
Below are the most important components of a Boleto Bancário, with a brief comment.
a code consisting of a group of printed and variously patterned bars (always 103mm in length and 13mm in height) and spaces and sometimes numerals that is designed to be scanned and read by a digital laser scanner and that contains information to identify the object it labels.
Numerical representation of the bar code, contains all the information necessary to identify the Cedente's (Merchant's) bank account and allow the clearance.
This field is used in home banking and self service banking.
According to FEBRABAN the identification field must be to the right of the bank identification number.
In case of problems with reading the bar code the information field will be used in its stead.
On the upper right hand corner of the Ficha de Compensação (Clearance Receipt) Nosso Número will be inserted according to rules established by each bank. Nosso Número (our ID Number) will enable identification of a boleto for the billing sector.
Cobre Bem, Cobre Bem E-Commerce and component CobreBemX programs connect to several banks of the Brazilian bank network and follow the rules established by each of them in their manuals, providing all necessary data and performing all necessary operations for the configuration of information related to the bank account.
Banks usually use two types of collection: registered and unregistered. These names vary from bank to bank.
Entails the receipt of bills without previous registration of these in the banking system, which means that the bank will receive the payments due, credit the appropriate account and deduct bank collecting fees.
The Cedente (Merchant) can issue their own boletos specifying bank and any other information they deem necessary. The bank will by means of magnetic archives, files or other, transmit bill and payment information to the Cedente (Merchant).
Billing information is sent beforehand to the bank through arquivo remessa (collect commands file) of several types the most common of which are CNAB and/or FEBRABAN in order to enable additional services such as printing and mailing of boletos, reporting tools, control of collection, payment status, and alterations to mention a few.
Some banks use CNAB 400 standards and others use FEBRABAN 240, and others yet use both. A few banks will have their own layouts. In order to collect the Cedente (Merchant) must send the appropriate file to his bank. The type of file accepted for the Cendente's (Merchant's) account should be informed by your bank account manager.
Observations: In Web environments (Electronic Commerce) usually the portfolios are unregistered. It makes sense to only use registered portfolios in Web environments that generate duplicates of the original documentation.
Here are some aspects that you must keep in mind in order to effectively plan your billing by Boleto Bancário:
Important:
Do not forget to inform the bank that you will issue boletos yourself using Cobre Bem Tecnologia software.
Nosso Número (our ID number) is one of the most important items when billing by boleto bancário. In our solutions the configuration of the appropriate field for Nosso Número (our ID number) will be marked by the words "Início Nosso Número" (beginning of our ID number) and "Fim Nosso Número" (end of our ID number).
If your bank account is authorized by the bank to collect and generate pre-printed boletos please note the Nosso número (our id number) on the last boleto issued.
In the bank account set up screen there is a field marked "Início Nosso Número" which should be filled in with the last Nosso Número (our ID number) generated by the pre-printed boleto +1. This will avoid duplicates and conflicts which would result in non-payment.
It is important to generate two separate fields labeled "Início Nosso Número" and "Fim Nosso Número" if the boletos are being issued on line and off line.
Although the bank account information is the same one of the fields that will contain Nosso Número (our ID number) will be exclusively for boletos issued on line and the other exclusively for boletos issued off line.
Example:
Important:
Always observe the size of the início (start) and fim (end) fields for the Nosso Número (our ID number) shown on the screen. The size of these fields is already set in accordance with the bank and portfolio rules that the Cedente (Merchant) is utilizing.
When the Cedente (Merchant) fills in his bank account information in the set up screen of our solutions we strongly recommend that a test be run with the bank before the Cedente (Merchant) begins to collect from his Sacados (Clients).
In order to check if the set up and data are correct issue a few boletos to the collection sector of the bank so that a verification can be made and you are sure that everything is ready and set when you begin your transactions.
With the technological advances boletos may be printed by ink jet or laser printers which makes it very practical for the the end user as they can maintain the integrity of the bar codes by using A4 paper size when printing the boletos.
If the printer has a lower margin that is too high the bar code printed above the end of the paper may be positioned out of the field of the scanner and the only way it can be read is if the paper is cut. Adjustments and tests should be performed to fix this problem in accordance with FEBRABAN standards.
Cobre Bem Tecnologia software generates boletos with the proper sizing and cut, whether these will be issued on or off line, so that if the Client needs to make adjustments for the bar code to be read, all he needs to do is to cut along the dotted line. This line is positioned in accordance with FEBRABAN standards.
